How to Get an Accurate Freight Quote in Vancouver BC
A freight quote is only as good as the information behind it. Send a vague request and you'll get a vague number — often followed by an invoice with surprise charges. Send the right details and you'll get a fast, accurate quote that matches the final bill.
Here's exactly what to include when you request a freight quote from any Vancouver trucking company (including us).
The 8 Pieces of Information Every Freight Quote Needs
1. Pickup Location
Full address including postal code. City-only ("Vancouver, BC") isn't enough — a downtown pickup and a Delta pickup have different drive times and access considerations.
Also note: is it a business or a residence? Residential pickups usually cost more (they require smaller trucks and often trigger a residential surcharge).
2. Delivery Location
Same rules. Full address + postal code. Business or residence. Any known access issues (narrow street, no dock, tight turnaround)?
3. Shipment Weight
Actual total weight, not estimated. LTL carriers reweigh at their terminal — if your estimated weight is off, you get a rate correction that can double the invoice.
4. Dimensions
Length x Width x Height of each item or pallet. LTL carriers also remeasure. Over-dimensional freight can bump you to a higher freight class or trigger dimensional pricing.
5. Number of Pieces and Type
"10 pallets" is different from "10 loose boxes" is different from "1 crate + 3 pallets." Piece count and packaging affect handling and rate.
6. Freight Class (for LTL) or Commodity Description
If you know your NMFC class (50 through 500), include it. If not, describe the commodity clearly: "20 pallets of bottled water" tells the carrier everything. "Miscellaneous goods" tells them nothing.
7. Service Type Needed
Do you need standard LTL, guaranteed LTL, FTL, expedited, cross-border, reefer? Each is priced differently.
8. Any Accessorials
Special services beyond simple dock-to-dock. Common accessorials:
- Liftgate (pickup or delivery) — for locations without a loading dock
- Inside pickup / delivery — driver takes freight inside the building
- Residential pickup or delivery
- Appointment required — receiver needs a scheduled window
- Notify before delivery
- Limited access — schools, military bases, farms, storage facilities
- Trade shows or construction sites
- Hazmat — dangerous goods classification and handling
Flag these up front. They're all standard services, but they're all extra cost — and if the carrier discovers them at pickup, you'll see them as add-ons on the invoice.
Bonus: When You'd Like Pickup
Same-day is usually available in the Lower Mainland but costs more. Next-day is standard. Flexible pickup windows can save 5–10%.
Why Freight Quotes Sometimes Change
The final invoice can differ from the quote for a few reasons:
- Actual weight or dimensions differ from what was quoted
- Freight class was misdeclared
- Accessorials weren't disclosed up front
- Fuel surcharge changed between quote and pickup
- Detention time at pickup or delivery beyond free time
- Redelivery attempts if the receiver isn't ready
Almost all of these are avoidable with accurate information at quote time.
What a Good Freight Quote Looks Like
A good quote breaks out the base linehaul rate, fuel surcharge, and any accessorials as separate line items — so you can see exactly what you're paying for.
Avoid all-in numbers without a breakdown. If something changes, you won't know why the bill moved.
